Athithi Devo Bhava Trips: Cancellation and Refund Policy
We understand that sometimes plans change. Our cancellation and refund policy is designed to offer flexibility while covering the commitments we make with our service providers. Please review the details carefully to understand how cancellations are handled.
Cancellation Policy
All cancellations must be communicated to us in writing. The cancellation charges will be effective from the date we receive your written notice and are based on the following schedule:
- Cancellation Before Arrival:
- Up to 30 days before the tour date: 25% of the tour/service cost.
- 15-29 days before the tour date: 50% of the tour/service cost.
- 7-14 days before the tour date: 75% of the tour/service cost.
- Less than 7 days before the tour date: 100% of the tour/service cost.
- Cancellation On the Day of Tour Commencement:
100% of the tour/service cost.
Special Periods:
- Christmas & New Year (20th December – 5th January):
All payments made during this period are non-refundable, regardless of cancellation date.
Cancellation After Tour Commencement:
If a trip is canceled or modified after commencement, any refund will be limited and based on what we can recover from our service providers (hotels, transportation, etc.). Please note that for unused hotel accommodations, chartered transportation, missed meals, or other services, no refunds will be granted.
Refund Policy
Refunds will be processed within 14-21 working days from the date of cancellation confirmation. All refunds are subject to the deduction of applicable cancellation charges and any non-recoverable costs incurred by Athithi Devo Bhawa Trips. Refunds will be processed through the same payment method used during booking unless otherwise specified.
In the case of partial cancellation (e.g., some services are used and others are not), the refund amount will be calculated based on the proportion of services used.
General Conditions
- Late Arrivals or No-shows:
No refund will be granted for no-shows or late arrivals. The client is responsible for arriving at the specified time and location as per the itinerary. - Third-Party Services:
Some components of our tours may be subject to separate cancellation policies, particularly for third-party services like airlines, rail, or cruise bookings. These will be communicated to the client prior to booking.
Travel Insurance
We highly recommend that all clients obtain travel insurance to cover unforeseen cancellations, delays, or other disruptions. Insurance can protect you from any financial loss in case of medical emergencies, accidents, or trip cancellations.
Please note that Athithi Devo Bhawa Trips is not responsible for any costs related to client injuries, illnesses, or losses that occur during the trip.
Force Majeure & Unforeseen Events
In the event of unforeseen circumstances, such as natural disasters, political instability, pandemics, or other acts beyond our control, Athithi Devo Bhawa Trips reserves the right to modify or cancel trips. While we will attempt to reschedule or provide an alternative solution, refunds will depend on the policies of our service providers.
